Wholesale & Custom Order Policy

Quick Summary

  • Wholesale (existing stock): minimum order of 10 units per product. Stock availability isn't guaranteed, existing products may sell out, be discontinued, or be limited-run.

  • Payment: full payment is required upfront for wholesale, made-to-order, and custom work, before production begins.
  • Cancellations: once an order is confirmed and paid, no refunds are offered, as materials and production time are committed at that point.
  • Ownership: Ruby/Always Friends © retains ownership (IP) of any custom artwork created; clients receive a license to use it for the agreed purpose, not full ownership or resale rights.

Full Policy

1. Scope

This policy covers order types outside our standard retail store: wholesale orders (bulk purchase of existing stock), made-to-order runs (products made specifically for an order), custom design work (bespoke design commissioned by a client), and product collaborations. These are handled separately from our standard Returns, Shipping, and Terms & Conditions, as outlined below.

2. Wholesale orders (existing stock)

Minimum order quantity (MOQ): a minimum of 10 units per product.

Stock availability is not guaranteed. Many of our products are limited-run, seasonal, or produced in small batches. We can't guarantee that a given product will be in stock, available in sufficient quantity, or available again in future, at the time of your enquiry. We recommend checking availability with us before finalising your order.

Quotes and confirmation: Wholesale pricing and lead times will be provided in a written quote. An order is only confirmed once the quote is agreed to in writing (e.g. via email) and payment has been received.

Lead times: Dispatch timeframes for wholesale orders will be confirmed at the time of quoting, as they can vary depending on order size, current stock, and workload.

3. Made-to-order runs

Some products are available as made-to-order runs, produced specifically for your order rather than pulled from existing stock.

  • Minimums apply and will be confirmed as part of your individual quote, as they depend on the specific product and production requirements.
  • Made-to-order runs generally require a longer lead time than existing stock, as production is scheduled after your order is confirmed. Estimated timelines will be provided at the quoting stage.
  • Because these items are produced specifically for your order, the standard cancellation and refund terms in Section 7 apply once confirmed.

4. Custom design work

Custom design work is assessed and quoted case by case, as scope varies significantly between projects. As part of your quote or brief, we'll agree on:

  • Deliverables: what's being created and in what format
  • Revisions: how many rounds of feedback/revision are included (this varies by project size and complexity); additional revisions beyond what's agreed may incur an extra fee
  • Timeline: an estimated delivery date, based on current workload
  • Usage: what the client is licensed to use the final artwork for (see Section 8)

Scope: Requests that fall outside the originally agreed scope may be treated as a new project or incur additional charges.

Approval: Final files will only be sent to print or delivered to the client once they've given written approval (e.g. via email) of the final design. Always Friends © isn't responsible for errors in a design that the client has approved.

5. Product collaborations

We're open to considering collaborations on new products with other artists, brands, or businesses, assessed case by case. If you'd like to propose a collaboration, get in touch with details of your idea — we'll let you know if it's something we'd like to explore further. We're not able to commit to every collaboration proposal we receive, and reaching out doesn't guarantee a partnership will go ahead.

6. Payment terms

Full payment is required upfront, before production or design work begins, for wholesale, made-to-order, and custom work. Work will not commence, and orders will not be scheduled for production, until payment has been received in full.

7. Cancellations and refunds

Once a wholesale, made-to-order, or custom order has been confirmed and paid for, no refunds are offered, as materials, time, and production capacity are committed as soon as an order is confirmed. If you need to make changes to an order, please contact us as soon as possible — we'll do our best to accommodate changes if production hasn't yet begun, but this can't be guaranteed.

8. Ownership and intellectual property

For custom design work, Always Friends ©  retains ownership of the intellectual property in the final artwork and any drafts or concepts created during the project, unless otherwise agreed in writing. The client receives a license to use the final artwork for the specific purpose it was commissioned for (e.g. printing on their product, use on their marketing materials), as agreed at the time of the project.

Unless otherwise agreed in writing, the client may not:

  • Resell, sublicense, or redistribute the artwork itself as a standalone product
  • Use the artwork for a substantially different purpose than originally agreed
  • Modify or adapt the artwork without permission

If full ownership/copyright transfer is required for a project, this can be discussed and agreed to in writing, and may involve an adjusted fee.

9. Product variation

As with our retail products, wholesale, made-to-order, and custom Risograph-printed items may show natural variation in ink coverage, registration, and colour between units and print runs. This is a normal part of the riso process and isn't considered a fault.
